Terms of service
We, at Definitive Sound, will always phone and speak directly with the venue regarding set up details. If the clients are told of any changes, these must be given to Definitive Sound prior to arriving. It can take between 60 minutes to 2.5 hours, depending on the package chosen, to set up so early access will be needed. Any delayed set up time and subsequent delayed start time due to the overrun of any prior proceeding, or of situations outside of Definitive Sound's control will not warrant any extension or refund. Please advise as soon as possible of any event/location changes. Wall sockets are required and it is preferable that the disco set up is placed near the sockets, although extension leads can be used if required. Adequate lighting is also required for the safe set up of equipment. If Definitive Sound are not happy with the condition of the venue's power outlets we will not continue unless an alternative location can be found; this is due to risk to the guests, DJ and equipment. If the venue allows the event to overrun the agreed time, the DJ can use his own discretion on whether to play on. There is a fee of £50 per hour which is to be paid before each hour commences.
Prices and times
Prices shown are for music played up to 4 hours with normally a 19.30 start and a 23.30 finish. Times will always be discussed with the client beforehand. If travel costs and venue extensions are needed, these will be discussed, included the overall costings and shown on the final invoice. Prices and promotions are subject to change and may go up if you come back to book later. Make sure you book the package you want when you see it, so we can guarantee you'll pay the price you've seen.
If Definitive Sound has been booked directly and not part of a total package and payment with a wedding venue, the outstanding balance is due two weeks before the event date and is payable by bank transfer as per the account details provided on the corresponding invoice. If no payment is paid Definitive Sound will not proceed but will still require the full outstanding payment.
Equipment damage and termination of hire
If any equipment belonging to Definitive Sound is damaged by the client or their guests during the hire period the client will be responsible for the cost of replacing or repairing equipment.
In the event of verbal abuse or physical violence towards the DJ or any other Definitive Sound staff, the client will be asked to have the person(s) removed from the venue. If an agreement regarding this cannot be resolved, then the services of Definitive Sound will be stopped immediately and the client will be liable for the remainder of any booking fees and no refund will be given.
Use of photographs or videos
Pictures and videos will be taken throughout your event and these may be used on social networking/website to promote Definitive Sound. Should you wish photos and videos not to be taken then please advise at time of booking.
If any guests suffer from light-induced epilepsy we will cease using the particular lights. If any guests are known to suffer from this condition prior to the event, the client must inform Definitive Sound before the event date.
Health and safety and insurance
Definitive Sound has £10 million Public liability insurance. Equipment is all PAT tested with certificates available on request.
Cancellation and changes policy
In the unlikely event that Definitive Sound cancels the service due to accident or sudden illness, we will endeavour to provide an alternative service at no extra cost to the client. We only work with and offer professional DJs. Definitive Sound will not be held responsible for not attending a booking where non-attendance is unavoidable, i.e severe weather conditions, road traffic accidents, road closures or any other unavoidable circumstances beyond our control. We will always endeavour to help all we can.
If the client cancels the event the deposit/outstanding balance will be due in part or full as follows:
Cancellation of the event before 16 weeks: booking deposit.
Cancellation of the event within 16 weeks: booking deposit plus 25% of the outstanding balance.
Cancellation of the event within 12 weeks: booking deposit plus 50% of the outstanding balance.
Cancellation of the event within 8 weeks: booking deposit plus 100% of the outstanding balance.
